- Responsible for the delivery of HR services in the Saudi Arabia and Bahrain locations;
- Partner closely with the HR team in the MENA region to implement and execute projects and solutions based on local and regional business priorities;
- Partner with the Emerging Markets and EMEA ED&SE team; be involved in global and regional projects;
- Execute and proactively deliver a busy and challenging regulatory reporting agenda;
Job Responsibilities
Key aspects of the role includes but are not limited to:
- Payroll:
- Execute and assist with the day-to-day running of payroll submission
- Manage the rent advance loans processing
- Ensure accurate processing of HR data
- Knowledge of managing GOSI (Saudi Arabia) and SIO (Bahrain) registrations requirements and calculations of social insurance contributions
- Knowledge of End of Service Gratuity Calculations (EOSG)
- Onboarding:
- Act as the local point of contact for candidate during the onboarding process
- Initiate onboarding checklist and communicate to appropriate parties, follow up to ensure timely completion
- Initiate, monitor and escalate work permit requirements with external vendor
- Keep track of new joiners and any changes in the employment terms
- Absence tracking administration - calculation and update of new joiner holiday entitlements
- Benefits enrolment for new joiner and eligible dependents as and when applicable
- Offboarding:
- Ensure resignation letters/ emails are on file
- Monitor any repayments due to JPM, e.g. Relocation, Study and Rent Advance Loans
- Monitor expat assignments coming to an end and report regularly to head HR
- Coordinate with the relevant teams for initiation of the Offboarding activities to include the offboarding checklist to ensure all relevant LOBs are informed and prompted to take required action
- Initiate cancellation of residency permit
- Engage the relevant teams to ensure all necessary documentation is issued in a timely manner to the leaver
- Benefits Administration:
- Manage the medical and life assurance enrolment/deletion for joiners and leavers
- Perform monthly invoice reconciliation and ensure timely processing
- Manage annual benefits review, contract renewal approvals and communication to employees
- Employment Letters Administration:
- Coordinate with the referencing team any changes to templates or ad-hoc requests
- Risk Management & Regulatory Reporting:
- Regulatory and internal/external audit management
- Manage processes to perform and test Risk & Control Self-Assessments, obtaining senior HR leadership sign off on risks and documenting any risks appropriately with supporting action plans or risk acceptance, liaising with Oversight & Control team as required
- Report any data privacy breaches and risk event items (RED) as soon as they occur
- Manage the Third Party Oversight (TPO) process for all HR engagements and act as the Delivery Manager including reviewing suppliers and negotiating rates on contract renewal in collaboration with the relevant contacts in Sourcing and Benefits teams
- Responsible for documenting and periodically reviewing the Standard Operating Procedures to ensure appropriate authorisation of processes are in place for all HR services
Project Management: - Project Management and delivery of complex projects both within MENA and in the EMEA region with focus on processes automation in alignment with overall firm's strategy
- Drive an agenda of self service and operational efficiency in partnership with the Head of HR and the ED&SE leadership
- Data Management & Regional Metrics Reporting:
- Assessment and delivery of management information requirements / people scorecard: recruitment, retention, mobility. Interpretation of key themes
- Ensure all employee data is fully up to date in HR systems and applications by performing periodic reviews and reconciliation
- Partnership and Client Management:
- Establish & maintain strong relationships with HR colleagues locally and in the region
- Partner with various internal and external stakeholders (e.g. Finance, Audit, Legal)
- Providing contingency cover and support for the HR team in the location, employee policy guidance
